We help field service companies analyse job site videos and generate professional performance and compliance reports automatically. Our platform is accessible at www.insytetracker.com, and is owned and operated by Simaura Investments ("we," "us," "our," "the Company").

This Privacy Policy applies to organisations who hold an Insyte Tracker account ("Customer" means the organisation that purchases, subscribes to, or administers an Insyte Tracker account), the field technicians those Customers add to their account ("Technicians"), and administrators who manage the platform on a Customer's behalf.

The Insyte Tracker platform is intended solely for business and professional use by organisations and their authorised personnel, and is not intended for personal or consumer use.

We may use trusted third-party AI service providers to process uploaded video, audio, and documents for the purpose of generating reports, performance scores, hazard identifications, and compliance analyses. We may change or add to the AI providers we use from time to time without this affecting the commitments in this section.

We may use aggregated, anonymised, de-identified, or Customer data, including video footage, transcripts, and derived observations, to develop, train, and improve the performance, reliability, and functionality of the Insyte Tracker platform and its AI models over time.

We may introduce additional automated features, machine learning capabilities, or AI-powered functionality from time to time. Any processing of Customer data by such features will remain subject to this Privacy Policy.

4.2 AI Output Accuracy Disclaimer

Important: AI-generated reports, performance scores, hazard identifications, compliance cross-reference results, recommendations, and other outputs are generated using automated systems and may contain inaccuracies or omissions. Customers remain responsible for independently reviewing AI-generated outputs before relying on them for compliance, employment, legal, safety, or operational decisions. Insyte Tracker does not guarantee that AI-generated outputs are complete, accurate, or free of error.

Customers acknowledge that AI-generated outputs are intended to assist human decision-making and are not a substitute for professional judgment, inspections, engineering advice, legal advice, or regulatory compliance assessments.

5. Data Ownership

All video footage, audio, compliance documents, AI-generated reports, summaries, metadata, extracted observations, and compliance analyses created from Customer data belong to the Customer organisation on whose account they were created. Technicians recording or uploading content do so on behalf of, and for the benefit of, the Customer that engages them.

For this Customer content, Insyte Tracker generally processes personal information on behalf of, and under the instruction of, the Customer, and does not claim ownership over it. For information relating to account administration, billing, platform security, fraud detection, legal compliance, and operation of the platform, Insyte Tracker may act as a controller/responsible party in its own right, where permitted by applicable law.

Customers represent and warrant that they have the necessary rights, licences, and permissions to upload all videos, compliance documents, and other content processed through the platform, and that such content does not infringe the intellectual property or other rights of any third party.

We treat uploaded compliance documents, SOPs, manuals, procedures, and other operational documentation as confidential business information, and handle them with the same security and access controls applied to other Customer data on the platform.

6. Video and Document Data

Videos and compliance documents you upload are stored securely in encrypted cloud storage and are processed primarily to generate your AI reports, compliance cross-references, and other platform functionality described in this Privacy Policy. Videos are retained according to your chosen retention policy (30, 60, 90 or 365 days) and then permanently deleted. Reports are retained in accordance with the Customer's selected plan, retention settings, and applicable contractual terms, as set out in our Terms of Service. Your video footage and documents are not disclosed or made available to third parties for their own independent purposes, and are never accessible to other Insyte Tracker customers.

7. Data Storage and Security

While we implement commercially reasonable security measures, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

We may suspend or restrict access to the platform where reasonably necessary to investigate suspected misuse, a security incident, a legal requirement, or a suspected breach of our Terms of Service. We may access Customer data where reasonably necessary to investigate security incidents, suspected abuse, fraud, or platform misuse, or to comply with applicable law.

Access to Customer data is limited to authorised employees, contractors, or service providers who require such access to perform their duties, and who are subject to appropriate confidentiality obligations.

8. Google Sign-In

We offer the option to sign in using your Google account. When you use Google Sign-In, we receive only the profile information you expressly authorise Google to share with us, which typically includes your name and email address. We do not receive your Google password, and we do not access any other Google account data. Your use of Google Sign-In is also subject to Google's Privacy Policy at policies.google.com/privacy.

We may share your information with trusted third-party service providers that assist us in operating, maintaining, and improving the Insyte Tracker platform and delivering our services. These providers may include categories such as:

Where reasonably possible, analytics and diagnostics information is aggregated or pseudonymised before analysis.

We may also disclose information where required by law, regulation, legal process, or governmental request, or to protect the rights, safety, or property of Insyte Tracker, our customers, or others.

If Insyte Tracker or its assets are involved in a merger, acquisition, financing, corporate reorganisation, or sale, Customer information may be transferred as part of that transaction, subject to applicable confidentiality and legal obligations.

We maintain a list of material subprocessors and will make this available to Customers upon reasonable request.

13. Third-Party Recording Awareness

Because the platform is used to record video at customer and third-party premises, individuals other than the Technician (such as homeowners or other workers on site) may incidentally appear in recorded footage. As set out in Section 10, Customers and their Technicians are responsible for ensuring recording practices comply with applicable local laws regarding notice and consent for recording individuals on their own property.

We retain account data for as long as your account is active. Videos are retained according to your chosen retention policy. We will delete or anonymise account data within a commercially reasonable period following account deletion, unless retention is required by law, contractual obligation, or legitimate business purposes. Compliance reports and records required to be retained for audit, legal, or regulatory purposes may be retained beyond account deletion, in an anonymised or Customer-exportable form where reasonably possible, unless deletion is separately requested and permitted by law.

Customers are responsible for exporting any reports or records they wish to retain prior to account termination, where required to meet their own record-keeping or regulatory retention obligations.

We use only essential cookies required for authentication and session management. We do not use advertising cookies or third-party tracking cookies.

Insyte Tracker is a business platform intended for use by adult field service technicians, administrators, and organisations in a professional capacity. It is not directed at, and must not be used by, children.

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. Material changes will be communicated via the platform, by email, or by posting an updated policy on our website with a revised "Last Updated" date. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
